Client snapshot
A regional distributor in Columbus was selling out of spreadsheets, invoicing in QuickBooks, and checking stock in a third workbook. The same order was typed three times.
The challenge
Quotes did not match invoices. Month-end close took the bookkeeper most of a week because sales and finance were reconciling two versions of the truth. Inventory adjustments showed up after orders had already been promised.
What we built
Zoho CRM holds the customer and the quote. Zoho Inventory holds stock by warehouse. Zoho Books creates the invoice when the order ships, using the same lines the customer already approved. We moved open customers, items, and balances out of QuickBooks at a month boundary, then reconciled the first Zoho bank feed against the statement the bookkeeper already trusted. Sales tax rules were set before any open invoice was imported.
- Customers, vendors, items, and open balances moved at a month boundary
- Ohio sales tax set before any open invoice was imported
- Quote lines in CRM become the inventory shipment and the Books invoice
- Stock by warehouse so a promised ship date checks both locations
- First Zoho bank feed reconciled against the statement the bookkeeper already trusted
How the project ran
- 1
Weeks 1–2 — close the old books
QuickBooks was reconciled through the cutover date. We agreed which historical invoices would move and which would stay in QuickBooks as a read-only archive.
- 2
Weeks 3–5 — one item list
Sales, warehouse, and finance were using three names for the same SKU. The item master was cleaned before any automation was turned on.
- 3
Week 6 — tax and opening balances
Sales tax rules and opening balances went in together. A side-by-side profit and loss was reviewed before anyone called it done.
- 4
Weeks 7–8 — quote to invoice
A shipped order in Inventory created the Books invoice from the approved quote. The first month-end after go-live is the 9-hour close in the results.

“Close week used to be a scavenger hunt between QuickBooks and two spreadsheets. Now the invoice is the quote the customer already signed.”
